The University of Queensland standard Joint Appointment Agreement

Can I use this template Joint Appointment Agreement?

This agreement is for use for the joint appointment of staff by Queensland Health or Mater Misercordiae Health Services with the University.

The University has four Standard Joint Appointment Agreements:

  • A Joint Appointment Agreement between the University and Queensland Health where the employee is employed by Queensland Health;
  • A Joint Appointment Agreement between the University and Queensland Health where the employee is employed by the University;
  • A Joint Appointment Agreement between the University and Mater Misercordiae Health Services where the employee is employed by Mater; and
  • A Joint Appointment Agreement between the University and Mater Misercordiae Health Services where the employee is employed by the University.

You must enter into a Joint Appointment Agreement BEFORE the joint appointment commences.

Please read the Conditions of Use below for information on when it is appropriate to use this agreement and how to prepare it. If the below Conditions of Use are followed and no changes are made to the standard terms and conditions, the delegate set out in clause 6.3 of PPL 1.10.03 (Contract Delegations) having regard to the relevant bands in PPL 1.10.02 (Financial Delegations) is authorised to sign the agreement on behalf of the University.

Conditions of Use

  • No amendments have been made to the Joint Appointment Agreement;
  • The blank fields enclosed by square brackets [ ] in the Joint Appointment Agreement have been completed;
  • Schedules 1 and 2 to the Joint Appointment Agreement have been completed which clearly describes the payments and the duties;
  • You have used the latest version of the Joint Appointment Agreement downloaded from Legal Services website each time;
  • You have obtained any relevant University approvals to enter into this Joint Appointment Agreement;
  • No conflicts of interest are involved; and
  • You have complied with the University’s policies and procedures.

When to contact Legal Services

Please contact Legal Services in the following circumstances:

  • If any of the Conditions of Use set out above cannot be met;
  • If you require any amendment to the Joint Appointment Agreement;
  • If the payment (exclusive of GST) is above the delegation limit of the School/Faculty/Institute level delegate having regard to clause 6.3 of PPL 1.10.03 (Contract Delegations) and the relevant bands in PPL 1.10.02 (Financial Delegations), the agreement needs to be signed by the Chief Operating Officer following review by Legal Services; or
  • If you have any queries in relation to putting together the Joint Appointment Agreement.

Steps when using the Joint Appointment Agreement

There are a number of issues for you to consider when you are putting together your Joint Appointment Agreement. Please follow this process:

  1. Select the appropriate Joint Appointment Agreement.
  2. Complete the details of the Joint Appointment Agreement.

    The details you need to complete are enclosed by square brackets [ ]. You need to complete Schedules 1 and 2 with as much detail as possible.
    Insert the name of the appropriate signatory and his/her title. Please check the Delegations Schedule to ensure the signatory has delegated authority to sign.

  3. The Joint Appointment Agreement needs to be printed and signed by the appropriate signatory. Please have two copies of the Joint Appointment Agreement signed, so that both parties can keep an original copy.
  4. Please request that the last party to sign the Joint Appointment Agreement handwrites the date of signing at the top of the first page.
  5. You need to ensure you receive a signed original copy back from the other party. Keep following up with them until this is received.
  6. Upon receipt of a Joint Appointment Agreement signed by both parties, keep a photocopy for your records and send the original signed copy to UQ’s Records and Archives Management Services.
